Outbound setup
AI outbound: from pilot to sales handoff
Validate a traceable workflow before expanding research and outreach.
PRECISION IN EVERY CONNECTION
Make it work before making it bigger
Define the scope, research and reach out, review replies, then hand off to sales with clear ownership.

Illustrative workflow, not client results.
An AI outbound pilot should not begin with a daily sending target. Start with who receives the response, what they need to receive and how the team decides whether to continue. The pilot tests a complete workflow within agreed limits; it does not promise an order.
Keep the pilot narrow and ownership explicit
Choose one market, one product group and a defined buyer profile. Agree the duration, workload, review rhythm and stopping conditions. Confirm product facts, certifications, lead times and approved claims before outreach creates expectations the business cannot meet.
The client approves facts and commercial terms. The delivery team handles research, outreach and records. Check the rules that apply to contact data, opt-outs and sending before starting. Technical ability to send is not the same as permission to contact.
Put human review at consequential points
AI can assist with public-information summaries, drafts and reply classification. Named people remain responsible for target selection, factual checks and complex responses. Unsupported information, price commitments and sensitive questions should not be sent automatically.
Separate opt-outs, irrelevant replies, follow-ups and explicit interest. Keep the original reply, timestamp and next step. Opens and clicks are not qualified opportunities, and silence should not be recorded as a confirmed rejection.
Give sales enough context to continue
A handoff should include the company and contact, the relevant need, conversation history, confirmed facts, open questions and a named owner for the next action. Sales should not have to restart the research from an isolated email address.
Review where the chain breaks: poor company fit, irrelevant conversations, unclear qualification or missing follow-up. Fix the cause before considering more volume. Sending more messages does not repair an incomplete handoff.
Before you start
- Scope, duration and stopping conditions are agreed in writing.
- Product facts and outbound content have named reviewers.
- Contact-data, opt-out and sending rules have been checked.
- Reply categories and human escalation are defined.
- Sales accepts the handoff format and owns the next action.
A useful pilot produces a workflow that can be inspected, handed over and improved—not just a record of messages sent.
